Event policy: Bus trips and walks

Policy overview:

This policy outlines the guidelines and expectations for organizing and participating in bus trips and walks organized by The International Women’s Association of Penang. These activities are designed to promote community engagement, physical well-being, and social interaction while ensuring the safety and enjoyment of all participants.

 

1. Participant eligibility:

All participants must meet any specified eligibility criteria for the particular event. Generally, events are open to The International Women’s Association of Penang members and their invited guests. Participants must have the physical capability to engage in the chosen activity.

 

2. Registration and participation:

Participants must register for bus trips and walks in advance through The International Women’s Association of Penang. Registration ensures that organizers can adequately plan for the number of participants and arrange transportation or routes as needed.

 

3. Code of conduct:

All participants are expected to adhere to the following code of conduct:

- Treat fellow participants, event organizers, and the general public with respect and courtesy.

- Follow the instructions of event leaders and organizers at all times.

- Maintain a positive attitude and contribute to a friendly and inclusive atmosphere.

- Respect the environment by disposing of waste properly and avoiding any damage to natural or urban settings.

 

4. Safety precautions:

Safety is paramount during all events. Organizers and participants must:

- Obey traffic rules and signals during walks.

- Stay within designated walking areas and cross streets at designated crosswalks.

- Follow any safety guidelines provided by event organizers.

- Use designated crossing points when boarding or disembarking from buses.

- Bring any necessary personal medications or medical supplies.

 

5. Transportation: 

For bus trips, transportation will be arranged by The International Women’s Association of Penang. Participants must follow any guidelines provided by the bus driver and event organizers while on the bus.

 

6. Health considerations:

Participants should assess their own physical condition and consult a medical professional if unsure about participating. Individuals with pre-existing medical conditions should inform event organizers before participating.

 

7. Cancellations and refunds:

In the event of trip cancellations due to unforeseen circumstances (e.g., inclement weather, transportation issues), participants will be notified promptly. Refund policies will be communicated during the registration process.

 

8. Photography and media:

Participants consent to being photographed or recorded during the event. The International Women’s Association of Penang, reserves the right to use these materials for promotional and documentation purposes.

 

9. Liability:

Participants acknowledge that The International Women’s Association of Penang and its organizers are not responsible for any accidents, injuries, loss of personal property, or other damages that may occur during the event.

 

10. Emergency procedures:

Event organizers will provide participants with emergency contact information. In case of medical emergencies or other urgent situations, participants should follow the instructions provided.

 

11. Compliance:

Failure to adhere to this policy or any disruptive behaviour may result in the participant being asked to leave the event and potential exclusion from future events.

 

12. Amendments:

The International Women’s Association of Penang reserves the right to amend or update this policy as needed. Participants will be informed of any changes in advance.

 

By participating in bus trips and walks organized by The International Women’s Association of Penang participants indicate their agreement to comply with this Event Policy.
